9  Admin Headaches that IRIS HR Solves for Law Firms

In total, we uncovered nine admin headaches commonly faced by HR departments in legal practices. Issues that until now, nobody had addressed.


 




1) SRA Diversity Reporting

 The annual SRA diversity report is an important tool to help firms identify how diverse they really are and to inform their approach to recruitment, promotion, and other workplace policies.

 

 


 

 

2) Special Responsibilities

Ensure everyone knows who in the organisation holds an additional responsibility, such as COLP, COFA or Authorised Signatory. This directory is maintained separately from the full employee directory to ensure staff can find the right person quickly.

We provide an auditable record of when a person was assigned a responsibility, along with a report detailing who currently holds which position, their job title and their SRA number to help you comply with Lexcel requirements on documenting the structure of your firm. 

 

 

     


 


              

 





3) Trainee Line Managers & Absence Requests

Trainees are required to change seats within the firm every 6 months to ensure they are exposed to a range of legal disciplines. For most HR systems, this also presents an issue when it comes to requesting a day off for a future date, normally because your current line manager is unlikely to be your line manager when your absence is due. 

IRIS HR enables HR teams to create a schedule of future line managers for trainees. Absence requests will then be automatically forwarded to the appropriate line manager for approval. 

 




4) Secretaries

In many firms, a secretary can work for more than one partner and also have a separate line manager. Within IRIS HR, holiday requests can be routed to multiple approvers, not just the secretary’s line manager. We also make it easy for employees to find the appropriate secretary to contact, depending on which partner they wish to reach.

 

 


 




5) PQE

IRIS HR automatically calculates a solicitor’s current PQE from their qualified date. Firms can set alerts to trigger based on PQE values, and can ensure fee earners are being charged out at their appropriate rate given their level of experience.




6) CPD

While the SRA have abolished mandatory minimum hours for CPD, many firms have told us that they plan on setting their own CPD requirements as part of their annual appraisals. IRIS HR enables staff to quickly record CPD that they have undertaken throughout the year.


 



7) Professional Development

The SRA's new approach to continuing competence presents an admin burden on the HR team. Without a minimum CPD requirement, HR need to ensure that solicitors are reflecting on their performance, gaining feedback from colleagues, addressing any shortcomings, and documenting the entire process effectively.

IRIS HR enables HR administrators to set reminders for staff and their line managers to conduct performance reviews, check when these have been conducted, and that any follow-up actions have been completed. 

 




8) Training Requests

Included within our standard HR system for law firms is the ability to create customisable training request/approval processes. 

With our additional Training Management Module, administrators can set up and manage training programmes, book rooms, allocate resources, quickly invite attendees with mail merge templates.

Upon completion of the course, our training module will automatically create a training record against the employee’s file within the main HR system.

 




 


9) Trainee Recruitment 

The sheer volume of applications many firms receive for periods of recognised training means trying to track candidates using spreadsheets and documents quickly becomes unworkable. 

The Recruitment Module upgrade enables HR to promote vacancies on the firm’s website without having to rely on the IT or marketing department to update available positions. Candidates can apply for positions online, and our screening questions tool enables you to quickly filter out unsuitable candidates. 

Each stage of your recruitment process can be managed with our Recruitment Module, from scheduling interviews to mail merging offer letters. Once a candidate has accepted a trainee position, their details will be populated within the HR system’s starters directory.

Rota Module

A quick and easy way to create rotas for you and your staff. The Rota Module is a centralised area where managers can create rotas for their staff to inform them of their upcoming shifts. Employees can access this when outside of work so they can check when their next shift is, even if there’s a late change to the schedule. Rotas are created per store and can be grouped together into regions, meaning managers can easily organise rotas they have in different locations.
