Job Summary

 

 

Based within the Datchet office and working under the direction of the Events Manager to help reach the company's marketing goals and objectives for our events programme – specifically IRIS World 2018.

 

Supporting the events manager in planning, delivering and analysing events and their effectiveness, and carrying out various activities and tasks to help achieve their individual plans. 

 

Working with the demand generation team, you will support the delivery of a successful events programme – working across multiple departments and externally to co-ordinate the presenters and content.

 

Working with third partners such as IRIS technology partners and industry bodies, you will support the events manager in securing sponsorship and speak opportunities for IRIS World.

 

Work with the Operations manager to ensure that the registration process can be fully tracked and successfully measured.

 

Carrying out any other administrative duties for the marketing department as directed.

 Main Responsibilities

  • Supporting the planning and delivery of IRIS events, including IRIS World, to agreed deadlines and budgets.
  • Support the delivery of IRIS World, from initial planning stages through to ensuring communications via the campaign managers are sent.
  • Liaise with external partners/speakers, manage internal briefings and ensure that all elements come together on schedule, through to supporting the running the event on the day.
  • Liaise closely with relevant colleagues and senior staff to ensure IRIS World meets its set brief whilst maintaining high standards of presentation, service and guest enjoyment.
  • Take ownership of the IRIR World Roadshows that facilitate specific messages and themes to be taken out to our audiences across the country; work closely with the sales managers to deliver the event, coordinate suppliers, handle queries and troubleshoot on the day of the event to ensure that all runs smoothly.
  • Work with the individual sales managers to ensure they put their full support, including sales resource in the day, behind IRIS World.
  • Liaise with sales and marketing teams to publicise and promote events; work with the IRIS campaign managers and digital marketing exec to manage the external marketing of events and execute all communications activity within agreed deadlines and budgets.
  • Work with our venue finder to research and book venues, entertainment and any necessary equipment and supplies as agreed at the planning meeting; make sure that we comply with all insurance, legal, health and safety obligations.
  • Produce detailed proposals for events (for example, timelines, venues, suppliers, legal obligations, staffing and budgets).
  • Manage and coordinate suppliers and all event logistics (for example, venue, catering, travel, organising guest speakers and delegate packs).
  • Support the PR programme delivered around events; engage with IRIS PR manager and agency to ensure they are briefed on the requirements and when required, attend on the day to maximise opportunities for press briefing and interviews.
  • Provide relevant reporting and implement an effective evaluation processes for the monitoring of financial return on investment using the existing marketing automation platform. Recommend any improvement actions for future events.
  • Promote a positive, professional and consistent brand image of IRIS to both staff and external customers.

 

Experience: 

  • A results driven individual with a proven track record of planning and implementing events across multiple audiences
  • Excellent administration skills and the ability to prioritise work and multi task
  • Cross-functional team working to provide marketing and communication support
  • Good communication and 'people skills' across stakeholders and multiple teams
  • Highly organised and efficient, with the ability to work well under pressure and be able to juggle more than one event at any one time
  • A high level of attention to detail
  • Excellent spoken and written communication skills
  • Proactive and enthusiastic with the ability to generate ideas that result in a positive outcome for IRIS
  • Highly driven, focused, tenacious and self-motivated
  • Friendly, approachable and well presented with great people skills
  • A proactive, ’can-do’ approach and be willing to get involved in projects outside the scope of the role as necessary

Preferred

B2B event management experience would be a distinct advantage.
