What data migrates to Staffology Payroll

Here’s what you need to know

This timeline lays out what you can expect from the migration process as you move closer to the date your Payroll Suite contract is up for renewal. 

  1. When you’re eligible

    If you’re eligible to upgrade to Staffology,you’ll receive an email from us. This email will provide you with an opportunity to book a call with our migrations team.

  2. Discuss your options with our team

    You’ll receive a call from a member of our team.You’ll be able to discuss your options and learn which Staffology products
    you’ll be upgrading to.

  3. Order your Staffology products

    Your order will be confirmed with us so we can start getting your Staffology account ready.

  4. On your migration dayOn your migration day

    You’ll get access to your new Staffology account. It’ll have all the products you need to get going. You’ll also gain
    access to our migration tools.

  5. After your migration day

    You’ll still have access to your Kashflow account for a few months after your migration day free of charge, you will not pay for your Kashflow product within this period. You can gradually migrate data over to Staffology while finishing up your work in Kashflow.

How much will it cost? 

Staffology Payroll has a different cost model to Kashflow Payroll where you will pay per payslip – and that cost reduces as you add more payslips. You’ll need to commit to a 12-month contract and will be billed monthly in arrears for the number of payslips you use. 

First 19 payslips:£39 per month
20 to 50:£1.95 per month
51 to 10,000+POA

We will be in contact approximately 4 months before your contractual renewal to tell you more about the upgrade and explain the migration process step by step.

Not at all, we will be giving customers 3 months on their existing product to migrate their data, which is why we are asking you to wait until you receive your email – so we can set that up for you and guide you through the migration process within plenty of time.

We will be in touch 3-months prior to the renewal date of your current product contract, you’ll be sent a personalised Staffology offer and contract. We run it this way as it makes the process easier for you, but if you have any questions please contact migrations-staffology@iris.co.uk.

Our upgrade tool does the heavy lifting for you by moving your data from your existing product to Staffology Payroll. You can find more info on the upgrade here.

Support for IRIS Keytime will come to an end in March 2025. This is why we are urging customers to move to our replacement product Staffology Payroll as soon as possible 

Unfortunately not, it is a one-way migration process.  Staffology Payroll is where we will be making our investment to develop our the capabilities and the automation. If you choose to, you’ll be able to run the two software packages in parallel for a limited time as you wait for your new contract to begin.

Make sure you’ve taken a trial to see how it works and familiarise yourself with Staffology Payroll. It’s now time to tailor and sign the contract via DocuSign when you are comfortable, and follow the instructions in the Help Centre to get your started. You can choose to amend the start date and/or the price banding that you’ve been allocated to suit your business’s needs.

It will vary based on the number of clients and payslips you process, but on average we find it takes between 5 and 10 minutes.

Yes, you can still log into your old payroll product and access the information; though after your license for your old product expires, you will no longer have access to its full functionality.
