Problem

How can I check on the status of my RTI submissions? Does payroll store a copy of my submissions to HMRC?

Resolution

All of our payroll products retain an audit record log of all attempted RTI filing submissions (FPS, EPS, EYU, Etc.). If you wish to check on the status of one of your submissions you can track it in the audit log. You are able to check the audit data for previous tax years without restoring any back-ups.

Where do I find the audit?

PAYE-Master

Go to “RTI Online Services” > “Audit“> “View

GP Payroll

Click “RTI Submissions” > “View Log

Payroll Business & Bureau Payroll

The audit data will show you time and date of each attempted submission, and, whether it was successful or not. Each submission should also have a correlation ID number, this is the receipt number from HMRC in case you need to query a submission with them.

PLEASE NOTE:  The audit log does have limitations:

•The successful status can only confirm the submission was received correctly by HMRC systems and passed basic validation, not that they have processed it correctly.

• The audit data is held within the company data file and will be affected by restoring back-ups. 

• Software users are able to clear data from the audit log.

• Interruptions in communications between your PC and HMRC (during HMRC gateway maintenance for example) can cause submissions to appear unsuccessful even though they reached HMRC correctly.

If you are in any doubt about a submission, make a note of the correlation ID number and contact HMRC online services on 0300 200 3600 for confirmation.

Each submission made should trigger a confirmation email from HMRC to the registered contact email address. We recommend you retain the confirmations wherever possible.


Finding a copy of the submitted data

The audit log is good for checking your RTI history but on occasion, you may wish to check in more detail what information was sent to HMRC.

Each payroll product retains a copy of the documents sent to HMRC, these are saved in the payroll program folder.

PLEASE NOTE: The exception to this is PAYE-Master which saves the submissions wherever the live data file is run from. To check this location use “Utilities” > “Move Data file“. When you call up this window you will see a list of all your companies and the location the live data file is saved.

To locate these copies, browse to your payroll program folder and look for a folder called “XML“. Within this folder there will be a numbered folder corresponding to each company’s payroll. EG. company number 1 on your system would have a folder in here called 0001. Inside this folder you will have separate EPS/FPS folders which contain copies of the information sent to HMRC. These files are saved as XML files and are best opened using internet explorer or another web browser of your choice.
