What is the 'Take on new client' standard job type for?

Resolution

The new client standard job type is used to track your progress on new clients. This is used in IRIS Practice Management where you can setup your own personalised list of items you wish to check on new clients, and then track whether you have done this work. It can also be used to monitor when clients join your practice. For further information see KB IAS-11924 To track your progress on new clients:
  • Create a new job called ‘New client’
  • Setup the ‘New Client’ job as a Standard job type
  • Review the job stages template for the ‘New Client’ job
  • a) Add the job ‘New Client’ to a new client b) Add the ‘New Client’ job to an existing client
  • Monitor your progress on the new client Create a new job called ‘New Client’ To create a new job type:
  • From the IRIS main menu, logon to System Maintenance.
  • System Maintenance will be displayed. Click on the Practice menu and click on job types / profiles from the drop down list.
  • The Job types screen will be displayed. Click on the New Button.
  • The job type definition screen will be displayed. In the job type code field, type NEW CLIENT
  • In the description field, type NEW CLIENT.
  • In the WIP / workflow section, untick the option ‘Record WIP at job level – otherwise by job type’.
  • Click on the down arrow next to ‘Subsequent jobs repeat at’, and select ‘unspecified intervals’.
  • Click on the OK button. Setup the new client job as a standard job type
  • From the IRIS main menu, Logon to System Maintenance as MASTER
  • System Maintenance will be displayed. Click on the Practice menu and click standard job types from the drop down list.
  • The Standard Job types screen will be displayed. Click on the magnifying glass next to New Client Job.
  • The job types screen will be displayed. Highlight the job type ‘New Client’ and click on the select button.
  • You will return to the Standard Job Types screen. Click on the OK button Review the job stages for the new client job
  • From the IRIS main menu, Logon to System Maintenance as MASTER
  • System Maintenance will be displayed. Click on the Practice menu and click job types / profiles from the drop down list.
  • The job types screen will be displayed. Highlight the job type ‘New Client’ and click on the profiles button.
  • The ‘Job profile maintenance – New Client’ screen will be displayed. This will list your job stages. For example, Money Laundering checks, prepare engagement letter, Form 64-8. Add, delete or Amend your stages as required. Tip: It is recommended that you start with the essenstial stages first and then add to these as you start working.
  • Once you are happy with your stages, click on the Save button and then click on the Close button. Create a new client and tick ‘Create Job for the take on of this client’ If you need to create a new client and want to set the new client job automatically:
  • From the IRIS main menu, Logon to Practice Management.
  • The ‘Staff Control Panel’ will be displayed. Click on the menu item Launch and select Client Lookup from your drop down list.
  • The client browser screen will be displayed. Highlight a client and click on the New button.
  • You will then need to create your new client. Follow the screens through (such as select business, person or trust, enter the address details) until you get to the New client screen where you are prompted for a client identifier.
  • Type in the client identifier (for example A001) and place a tick next to ‘Create a job for the takeon of this client’.
  • Click on the OK button Add the new client job to an existing client If you already have clients setup and wish to add the new client job:
  • From the IRIS main menu, Logon to Practice Management.
  • The ‘Staff Control Panel’ will be displayed. Click on the menu item ‘Launch and select ‘Client Lookup’ from your drop down list.
  • The client browser screen will be displayed. Highlight a client and click on the view button.
  • The client maintenance screen will be displayed. Click on the jobs tab.
  • Click on the New button.
  • The Client Job recurrence maintenance screen will be displayed. Click on the magnifying glass next to job type.
  • The job types screen will be displayed. Highlight the ‘New Client’ job and click on the select button
  • You will return the ‘client job maintenance screen’. Click on the OK button. Monitor your progress on your client It is possible to track your progress on a client by reviewing the client job profile. For example, what has been completed for client A001 and what needs to be done.
  • From the IRIS main menu, Logon to Practice Management.
  • The ‘Staff Control Panel’ will be displayed. Click on the menu item ‘Launch and select ‘Client Lookup’ from your drop down list.
  • The client browser screen will be displayed. Highlight a client and click on the view button.
  • The client maintenance screen will be displayed. Click on the jobs tab.
  • Highlight your job type ‘new client’ and click on the profile button.
  • The View job profile screen will be displayed. Here you can view what has been completed, or marked more stages as being done. For example, produce a 64-8 cover or adding sending engagement letters out.
