How do I set up the MTD ITSA job type in IRIS Practice Management and configure it to automatically track quarterly obligations?

Resolution

From IRIS Accountancy Suite version 26.1.0, Practice Management includes an option to automatically track the MTD jobs assigned to clients. This requires two steps: first, creating the MTD ITSA job type and assigning it to the MTD ITSA standard job type field; second, configuring an automatic completion event so that quarterly intervals are marked as complete once HMRC confirms the obligation has been met.

Important:  You must be logged in to the IRIS Accountancy Suite as the Master user to follow the steps below. The Setup menu in Practice Management is only accessible to the Master user account.

Part 1 – Creating the MTD ITSA Job Type

To create the MTD ITSA job type and assign it to the MTD ITSA standard job type field:

  • Log in to the IRIS Accountancy Suite as Master
  • Click on IRIS Practice Management from the IRIS Main Menu
  • When the Staff Control Panel opens, click on Setup | Standard Job Types

  • Click on the magnifying glass next to the MTD ITSA field. A new window titled Job Types will appear

Tip:  If a job type is already listed in the Job Types window, click Select to assign it to the MTD ITSA field and skip to Part 2. There is no need to create a duplicate.

  • Click New. A window titled Job type definition will open
  • Provide a Job type code and a Title. For example, use MTD as the job type code and Making Tax Digital as the title
  • Set the Workflow option as appropriate for your practice
  • Set the ‘Subsequent jobs repeat at’ field to Quarterly Intervals. This is required for MTD ITSA – IRIS will create four quarterly intervals based on the Tax Year End, matching HMRC’s submission schedule

Important:  The Subsequent jobs repeat at field must be set to Quarterly Intervals. If this is set incorrectly, IRIS will not generate the correct number of submission periods for your clients.

  • Click OK to create the job type
  • Click Select to assign the new job type to the MTD ITSA field
  • Click OK. You will be returned to the Staff Control Panel

The MTD ITSA job type is now created and can be assigned to clients. See Part 2 below for how to set up automatic completion events.

Part 2 – Setting Up Automatic Completion Events

Automatic completion events allow IRIS to automatically mark a quarterly interval as complete once HMRC confirms the obligation has been met, then move to the next interval. To set this up:

  • From the Staff Control Panel, click on Setup | Standard Job Types

  • Click on the magnifying glass next to the new MTD job type. This will open the Job Profiles screen showing the job type created in Part 1
  • Click on Profiles. The Job Profile Maintenance window will open
  • Click Add
  • Provide a Description for the completion event, for example: MTD Quarterly Obligation Met
  • From the ‘Automatic complete when’ drop-down, select MTD: Quarterly Obligation Met

Note:  The MTD: Quarterly Obligation Met option is only available if your IRIS licence includes the MTD ITSA module and you are running version 26.1.0 or later. If you cannot see this option in the drop-down, contact IRIS support.

  • Select the staff member responsible for this job stage and set the due date
  • Click Save and then Close
  • Click Close, then Close, and finally OK to return to the Staff Control Panel

The job type is now fully configured and can be assigned to your clients.

Additional Information

The table below describes the key fields in the Job type definition window:

Job type codeA short code used to identify the job type on timesheets and reports. This cannot be changed once the job type has been used in a posting.
TitleThe full descriptive name of the job type, displayed when selecting or viewing the job type.
WorkflowControls how job stages are managed and progressed within IRIS Practice Management.
Subsequent jobs repeat atDefines the recurrence of the job. For MTD ITSA this must be set to Quarterly Intervals so that IRIS creates four quarters per Tax Year End. Other available intervals include: Unspecified, Weekly, Two weekly, Four weekly, Monthly, Two monthly, Four monthly, Six monthly, and Annual.
Automatic complete when (Job Profile)Defines the trigger for automatically completing a job stage. For MTD ITSA, select MTD: Quarterly Obligation Met so that IRIS marks the quarter as complete when HMRC confirms the obligation has been fulfilled.
