Have you swapped your umbrella for sun cream? It must be summer!

Well, that can only mean one thing: it’s time for the Staffology Payroll summer software update.

In this blog, we’ve showcased some of the great new features now available in Staffology Payroll.

Enhanced holiday pay

Staffology Payroll now gives you more control over how enhanced holiday pay is applied.

Until now, average holiday pay has always been calculated in hours, but this latest update adds the ability to calculate it on a daily basis.

On top of that, we’ve also added a new enhanced scheme option.

The enhanced scheme option lets an employer pay a set number of days at the enhanced rate and then automatically drop to a flat standard rate for the rest of the year.

Example: an employer wants to pay the first 20 days of holiday at the enhanced average rate and the remaining eight days at the employee’s standard daily rate.

With the new update, Staffology Payroll handles that switch for you, ensuring you only ever pay the maximum number of days you want at the enhanced rate; an employee has two separate balances – one for enhanced days and one for standard days – both maintained in real time, with the enhanced balance drawn down first.  

You can also record unpaid holiday days, which don’t reduce either balance.

Additionally, you can import a history of previously paid amounts, so this is factored into the average holiday pay calculation.

Employer notes

The option to add ‘employer notes’ was a highly requested feature on the Staffology Ideas Portal with 44 votes – one which we’ve received great feedback on, with clients telling us it’s helped streamline their processes.

Use them to record payment arrangements, processing instructions, billing details or contact preferences against an employer’s record.

Additionally, because they’re visible only to your bureau staff and processors, not to the employer’s own users, they stay private to your team.

You’ll find the ‘notes’ tab within the client’s ‘edit details’ section.

Simply click ‘add note’, enter a title and the details, then attach any supporting documents.

Additional frequencies

We’ve also launched two new pay frequencies: quarterly and annual.

To use them, head to ‘settings’ and then ‘pay schedules’.

From there, you can set up a new pay schedule using either the quarterly or annual pay frequency.

Once created, you can assign it to your employees just like any other pay schedule.

Staffology Payroll also handles statutory payments correctly across these longer periods.

Example: if you’re running a quarterly payroll and have Statutory Maternity Pay (SMP) spanning April to August, the system will correctly pro-rata the SMP to include up to June while you’re in the first quarter, and then pay the rest in the next available pay period.
