Introduction
There are two types of licences for Time and Fees
Screen Licences
Each screen licence allows one user to open Time and Fees Ledgers. For example, if you have one Time/Fees licence, this will allow you to log onto IRIS Time/IRIS Fees, provided you have the privileges to do so.
Staff Licences (Package Limit)
In order to post to Timesheets, staff members need to be “Registered with Time & Fees”. Each user ‘registered’ with Time and Fees uses up one licence.
For example, you may have 1 Screen licence, but 10 staff licences. This means that 1 person can access Time/Fees from the IRIS Main Menu and 10 staff members can enter details into their timesheets

Check your package limit
To check your package limit:
Log on to System Maintenance from the IRIS Main Menu as Master
Click on System | Licence Details
Highlight “Time and Fees” and click on the Select button
Your Package limit will be displayed. For example 10
Check the number of staff currently registered
Log on to IRIS Time from the IRIS Main Menu as Master (Super User)
Click on File | Staff
The Staff browser will be displayed, click on the Print button and select Staff list
In the Options tab, tick the option “Only staff registered with Time and Fees” . Untick all other options
Click on the Selection tab, ensure all fields are empty and both tick boxes are ticked
Click on the Columns tab, under the column section tick ‘Surname’ and ‘Registered with Time and Fees’. Untick all other column options.
Click on the OK button, display the report to screen.
There should be a total at the end of the report which displays the number of Staff registered with Time and Fees. For example “Report totals: Number of Staff = 10”
If you have reached your package limit and want to register more staff with Time and Fees, then you can either set staff who have left to ‘No longer employed’, or purchase a higher package limit for “Time and Fees”.
Set staff members to no longer employed
To set staff to ‘No longer employed’:
Log on to IRIS Time from the IRIS Main Menu as Master (Super User).
Click on File | Staff.
Highlight an old staff member and click on the view button.
Click on the Rates tab, place a tick next to “No Longer Employed”, if not already ticked (make sure to leave “Registered with Time and Fees” ticked) .
Click on the Save button, this should free up a licence.
Carry out the above instructions for all staff members that have left.
