Problem

I've entered an incorrect 'to' date on my timesheet so the timesheet lasts too long. How can I change the timesheet dates? For example, I wanted my timesheet to runs from 1st January to 7th January but I created it for 1st January to 21st January by mistake.

Resolution

Once a timesheet has been created the dates cannot be changed. If the end date on your timesheet is incorrect you have the following options:
  • Delete the timesheet.
  • Continue to post into the longer timesheet
  • Change the timesheet totals and post corrections Delete the timesheet It is possible to delete a timesheet and recreate the timesheet with the correct dates. This option is only available if you are using Grid Timesheets. To enable Grid timesheets:
  • Open to IRIS Time.
  • Click on Options and select My Preferences.
  • Place a tick next to ‘Use Grid Timesheet screens’ and click on the OK button. To delete the timesheet:
  • Log on to IRIS time.
  • Click on Post WIP, and select Timesheets.
  • The ‘Timesheet for Staff Member’ screen will be displayed. Select a staff identifier.
  • Highlight the most recent timesheet with a status of current, and click on the Re-open button.
  • The ‘Timesheet Time postings’ screen will be displayed.
  • Click on the ‘Delete T/S’ button to delete the timesheet. (This will not be displayed if this isn’t your most recent timesheet.) Note: It is only possible to delete the most recent timesheet with a status of current or complete. If you have updated the timesheet to the ledger you will not be able to delete the timesheet. If you cannot delete the timesheet you may need to either continue to post into the longer timesheet, or change the totals of the timesheet and post corrections. Continue to post into the longer timesheet If you cannot delete the timesheet you may continue to post into the longer timesheet. For example, if you timesheet covers three weeks instead of a desired one week, then you can post your timesheet entries for the next three weeks into the one timesheet. Change the timesheet totals and post If you cannot delete the timesheet and do not wish to post into the longer timesheet you may wish to change the timesheet totals and then post corrections. For example, if a timesheet is three weeks long, e.g. from 1st January to 21st January. If your standard week was 35 hours, then this timesheet would last 105 hours. You can change the timesheet totals to 35 hours long and then post the remaining 70 hours (two weeks) as corrections. To change timesheet totals:
  • From the IRIS main menu, click on IRIS Time.
  • From the menu, click on Post WIP and select Timesheets from the sub-menu.
  • The ‘Timesheet for staff member’ screen will be displayed. Highlight your longer timesheet and click on the Reopen button.
  • Your timesheet will be displayed. Click on the totals button and change the total to the required number. For example, 35 for 35 hours. Update the Time ledger
  • From the IRIS main menu, click on IRIS Time.
  • From the menu, click on Pending Queue and select Update ledger.
  • The screen ‘Update Time Ledger WIP’ will be displayed. Place a tick next to timesheets and enter the staff identifier in ‘only for staff member’. For example RP.
  • Click on the OK button Post Corrections
  • From the IRIS main menu, click on IRIS Time.
  • From the menu, click on Post WIP and select Corrections from the sub-menu.
  • You may be prompted for a Time Period. Select your period then click on OK.
  • The timesheet corrections screen will be displayed
  • In the Posting Type section, click on the debit option and click on the WIP option (to post additional time)
  • Type the client identifier in the client ID field. For example, A001
  • In the jobs field enter the job type. For example, ACC
  • Type the staff identifier in the Staff ID field. For example, RP.
  • Type the date in the date field. Note: this date must be where you have a complete and fully applied timesheet (see changing timesheet totals and update the ledger above)
  • Type in the time in the Time field. For example, 1 for 1 hour.
  • Click on the Post button. Update the correction
  • From the IRIS main menu, click on IRIS Time.
  • From the menu, click on Pending Queue and select update ledger.
  • The screen ‘Update Time Ledger WIP’ will be displayed. Place a tick next to ‘Other postings’ and enter the staff identifier in ‘only for staff member’. For example RP.
  • Click on the OK button
