Problem

How can I set up the system to record when a client has joined or left the practice?

Resolution

As of version 18.1, IRIS Accountancy now records the creation date of new clients (only client created AFTER the update). To Data Mine the Client Creation date
  • From the IRIS main menu, Logon to Practice Management.
  • The ‘Staff Control Panel’ will be displayed. Click on the menu item ‘Launch and select ‘Data Mining from your drop down list.
  • The IRIS Data Mining screen will be displayed. Select Field and click the magnifying glass to the right.
  • Expand the Basic folder and double click Creation Date.
  • Set the drop down menu to Exists, click Add to List and select Find. This will then produce a list of all the clients who have a creation date against them. Setting up a service will allow you to monitor when a client starts or leaves your practice. It is recommended that you use the ‘New Client’ service. For more information see KB IAS-6679 To add a new service:
  • Create a new job called New client.
  • Assign the ‘new client’ job to the client as a service.
  • Search for clients start date using data Mining. Create a new job called ‘New Client’ To create a new job type:
  • From the IRIS main menu, Logon to System Maintenance.
  • System Maintenance will be displayed. Click on the Practice menu and click on job types / profiles from the drop down list.
  • The Job types screen will be displayed. Click on the New Button.
  • The job type definition screen will be displayed. In the job type code field, type NEW CLIENT
  • In the description field, type NEW CLIENT.
  • In the WIP / workflow section, untick the option ‘Record WIP at job level – otherwise by job type’.
  • Click on the down arrow next to ‘Subsequent jobs repeat at’, and select ‘unspecified intervals’.
  • Click on the OK button. Assign the ‘New Client’ job to a client as a service
  • From the IRIS main menu, Logon to Practice Management.
  • The ‘Staff Control Panel’ will be displayed. Click on the menu item ‘Launch and select ‘Client Lookup’ from your drop down list.
  • The client browser screen will be displayed. Highlight a client and click on the view button.
  • The client maintenance screen will be displayed. Click on the services tab.
  • Click on the new button
  • The client service screen will be displayed. Click on the magnifying glass next to job type and highlight the job type ‘new client. Click on the select button.
  • In the date started field type the date that the client joined.
  • You can also you the ‘Date Terminated’ as the date the client left the practice.
  • Click on the Add button. The service will appear in the services tab Search in Data Mining for the your client start dates
  • From the IRIS main menu, Logon to Practice Management.
  • The ‘Staff Control Panel’ will be displayed. Click on the menu item ‘Launch and select ‘Data Mining from your drop down list.
  • The IRIS Data Mining screen will be displayed. Click on the radio button next to ‘Form’ and then click on the magnifying glass. From the drop down list click on the services option.
  • The services identifier Criteria screen will be displayed. Type NEW CLIENT in the first field and click on the OK button.
  • You will return to the Data Mining screen. Click on the ‘Add to List’ button.
